The Position
Med-Or Italian Foundation for Africa is seeking a Finance & Administrative Officer to lead the accounting operations of the Nairobi office and support financial, procurement, and administrative management of a growing portfolio of development projects, primarily funded by the Italian Agency for Development Cooperation.
Reporting to the Executive Director and working closely with the Office Manager and programme staff, the successful candidate will help ensure that office accounting is managed efficiently and projects are implemented transparently, and in full compliance with organisational policies and donor requirements.

Key Responsibilities
Finance
• Maintain accurate accounting records and supporting documentation for the Nairobi office
• Support project budgeting, financial planning, and expenditure monitoring
• Process invoices, payments, advances, and reconciliations for the Office and projects.
• Assist in the preparation of financial reports for management and donors.
• Support internal and external audits.
• Ensure compliance with organisational financial procedures and Kenyan statutory requirements.
Procurement
• Manage end-to-end procurement processes in accordance with organisational procedures and donor regulations.
• Prepare procurement plans, requests for quotations, bid evaluations, purchase orders, and contracts.
• Map potential suppliers in Kenya and abroad for projects’ items.
• Liaise with suppliers and service providers to ensure the timely delivery of goods and services.
• Maintain complete procurement records and documentation.
• Monitor supplier performance and contract implementation.
Administration and Project Support
• Provide administrative support to the Nairobi office, its director and the rest of the team.
• Support logistics for meetings, workshops, travel, and field missions.
• Maintain project files and administrative records.
• Support project reporting and documentation.
• Contribute to the continuous improvement of internal administrative and financial systems.
Qualifications and Experience
• Bachelor's degree in Finance, Accounting, Procurement, Supply Chain Management, Business Administration, or another relevant discipline.
• Minimum of three years of relevant professional experience in procurement and financial administration.
• Experience with office accounting and financial management.
• Experience working with donor-funded development or humanitarian projects.
• Familiarity with the procedures of the Italian Agency for Development Cooperation (AICS) or other European donors would be a strong advantage.
• Good understanding of procurement processes.
• Uncompromising integrity and total transparency in all financial and procurement actions.
• Excellent organisational skills with strong attention to detail.
• Ability to manage multiple priorities and meet deadlines.
• Proficiency in Microsoft Office, particularly Excel; experience with accounting software is desirable.
• Good written and spoken English and Swahili. Knowledge of Italian is an asset.
